Why This Policy Exists
Predictability matters in this work — for you and for the practice. This policy is here so that sessions, time, and fees are clear and fair for everyone. The working relationship stays straightforward rather than something either of you has to manage.
Notice Period
If you need to cancel or reschedule a session, please give more than 48 hours’ notice wherever possible.
- More than 48 hours’ notice — no charge. The session can be rescheduled or credited without any fee.
- Less than 48 hours’ notice — charged at the full session rate.
Genuine Emergencies and Acute Health Events
The full-rate charge for late cancellation does not apply where the reason is a genuine emergency or an acute health event. In these situations, reasonable judgment will be used. You are simply asked to get in touch as soon as you’re able. There’s no expectation of an explanation beyond that.
This isn’t a loophole to justify — it’s a recognition that life sometimes doesn’t give 48 hours’ warning. Communicate when you can, and the rest will be handled with reasonable judgment, not a rigid rule.
Rescheduling
A session cancelled with enough notice is simply moved rather than lost; get in touch to find another time that works. The 12-session package is designed to be used at whatever pace fits your circumstances. Not on a fixed weekly schedule, so occasional rescheduling is expected and accommodated.
Cancelling a Package
If you cancel the 12-session package before all sessions have been used, the sessions you’ve already had will be recalculated at the single-session rate, rather than the discounted package rate. The remaining balance of the package fee will then be refunded to you.
For example, at the current rates: three completed sessions would be recalculated at $95 each ($285) rather than the discounted package price, and the difference between that and what was paid for the package would be refunded.
Repeated Late Cancellations
If late cancellations become a pattern, this will be raised directly and discussed as part of the working relationship. Not as a penalty, but because a pattern like that is usually worth understanding rather than just managing around.
